AI Implementation Planning and Developer Handoff

When one AI objective turns into several connected workflows, I map the work, test it in small pilots, and prepare a clean handoff to the qualified developer who builds it.

Priced by scope

What is AI implementation planning?

AI implementation planning is the work of preparing a business for a real AI build before anyone writes production code. With AI Actualized, I map how the work is actually performed, test bounded ideas in micro-pilots, and define the requirements and guardrails, so the qualified developer who builds it receives a usable signal instead of a box of ideas.

I think of it as the groundwork under the build. The objective is to make the larger system visible: what enters it, what each station must do, what has already been tested, what conditions govern the work, who owns each decision, and what the receiving specialist becomes responsible for next.

When does a small business need an AI implementation plan?

A small business needs an AI implementation plan when hourly help stops making sense and the work becomes a contracted engagement. That line usually shows up when one objective has become several connected workflows, more people have to coordinate, information has to move between systems, or a working experiment needs an operational harness before anybody treats it like infrastructure.

Before that line, a working session or two is usually the better spend. After it, the cost of skipping the plan tends to be paid in rework.

What does AI Actualized do in an implementation planning engagement?

In an AI implementation planning engagement, I examine how the work is really done, map how information and responsibility move, evaluate what the micro-pilots taught us, and document the requirements, guardrails, assumptions, and failure points the production work will need. You also get client-side guidance from me throughout the build.

That work usually covers:

  • Operational mapping. How the work moves today, who touches it, and which tools it passes through.
  • Micro-pilots. Small, bounded tests of the idea, and an honest read on what they showed.
  • People and tools. Who is involved at each station and what systems they depend on.
  • Assumptions and failure points. What the plan is betting on, and where it is most likely to break.
  • Requirements and guardrails. What the production build must do, and what it must never do.
  • The harness. The operating structure around the work, so a developer inherits something organized rather than a pile of experiments.

Does AI Actualized build production AI systems?

Not in this engagement. In AI implementation planning, AI Actualized helps define the use case, map the operational requirements, prepare the business context, test bounded concepts, and create a responsible developer handoff. Production engineering, deployment, warranties, and ongoing maintenance require a separate contract with an appropriately qualified implementation specialist.

That is where my work ends and a qualified developer takes over. I would rather name that boundary plainly than let a client find it the hard way.

How does the two-contract handoff work?

An AI implementation planning engagement uses two contracts. You contract with AI Actualized for operational mapping, implementation planning, requirements, the harness, and client-side guidance. You contract directly with the qualified developer or technical specialist for architecture, code, integrations, cybersecurity, deployment, warranties, monitoring, and maintenance.

I may stay involved as the guide and translator between you and the developer, but responsibility for the production build stays with the specialist performing it.

Why hand off to a developer instead of having one person do everything?

Handing off to a qualified developer keeps each part of the work with the person who can responsibly carry it. I liken AI implementation to producing an album more than installing a piece of software: sometimes one person records the tracks, another mixes, and another masters.

Sometimes several people share a station. Sometimes one person carries several roles. It all varies. What matters is that the whole production stays visible, and that each person receives the work in a condition they can responsibly carry forward.

How much does AI implementation planning cost?

AI implementation planning is priced by scope, because the cost follows how many workflows, people, and systems the plan has to cover. We define the scope together in a conversation first, and nothing is priced until we both know what the plan needs to carry.

Who is AI implementation planning for?

AI implementation planning is for Sacramento small business owners whose AI work has outgrown a single tool or a single session: several connected workflows, more than one person involved, or a pilot that works well enough that people are starting to depend on it.

If you are still figuring out where AI fits at all, this is not the place to start. The AI Audit is.

Where does this fit with the rest of AI Actualized?

AI implementation planning is one of the Other Services that sit outside the main AI Actualized ladder. The main ladder starts with two guided games offered as a courtesy, Knowing Your Why and Build Your Business Brain, moves to the AI Audit, and leads to a Digital Employee Build.

Implementation planning is for work headed to a qualified developer’s production build. For teams that need to learn the tools, there is AI training, and for one person with one objective, there is a hands-on working session. You can see everything on the services page.

Let's actualize this in your business.

Start where it makes sense for you. Every engagement begins by naming the right problem and ends with systems that work.
