AI Actualized is a sole proprietorship operated by Chris Sharp in Sacramento, California. This policy explains what information I collect through youraiactualized.com, why I collect it, where it goes, how long I keep it, and what you can ask me to do with it.

The short version is simple: I collect the information needed to answer inquiries, provide services, schedule appointments, process purchases, and understand whether the website works. I do not sell personal information. I do not share it for cross-context behavioral advertising. I do not submit client information to third-party AI systems or use client information to train models.

Information you provide

Depending on how you use the site or work with AI Actualized, you may provide:

• Your name
• Email address
• Telephone number
• Business or organization name
• Questions or messages submitted through the website
• Appointment information submitted through Google Calendar
• Assessment and exercise responses submitted through Google Forms
• Business documents, operational information, and other materials provided during a client engagement
• Purchase and transaction information connected with a Stripe checkout

The Knowing Your Why form asks for your name, email address, telephone number, and business name. It also provides an optional field for a question or message.

Google Forms, Google Calendar, and Stripe collect information on their own platforms. The information you enter there is also governed by their privacy policies and account settings.

Information collected automatically

The site and its service providers collect some technical information automatically when you visit or interact with the site. This may include:

• Your IP address
• Browser and device information
• Pages visited
• Approximate location derived from an IP address
• Referring page or website
• Dates and times of visits
• Interactions with pages and links
• Analytics identifiers
• Transaction and submission logs

The site records the IP address associated with lead-form submissions and completed purchases. That information is stored with the corresponding submission or transaction record and may be used to investigate abuse, fraud, delivery problems, or technical failures.

Cloudflare processes website traffic and may maintain network and security logs. Google Analytics collects information about website use. This site also loads fonts from Google Fonts, which means your browser may connect to Google and provide technical information such as your IP address, browser, and device details.

Browser storage, cookies, and analytics

The site uses browser storage for limited functions:

• aia_cart_v1 preserves the contents of your cart.
• lp_dismissed_at remembers when the lead form was dismissed.
• lp_submitted remembers when the lead form was submitted.

Google Analytics may use cookies or similar identifiers to measure website traffic and use. AI Actualized does not currently use advertising pixels, behavioral advertising, or cross-site retargeting.

The site does not currently display a cookie-consent banner. It is also not configured to detect or respond automatically to Global Privacy Control or Do Not Track signals. Because AI Actualized does not sell personal information or share it for cross-context behavioral advertising, there is no sale or advertising-data transfer to opt out of through those signals.

You can limit analytics collection by blocking analytics scripts, disabling cookies, using privacy controls provided by your browser, or using a browser extension designed to block analytics.

How I use information

I use collected information to:

• Respond to questions and requests
• Deliver purchased materials and services
• Send assessment forms and exercises
• Schedule meetings and working sessions
• Prepare for consultations and client engagements
• Maintain records of services and transactions
• Provide service-related communication
• Diagnose technical problems
• Detect or investigate abuse and fraud
• Understand how visitors use the website
• Improve the site, offers, and client experience
• Meet tax, accounting, contractual, and legal obligations

I do not currently operate a marketing-email program. Service-related messages may still be sent when they are necessary to fulfill a request, deliver something you purchased, schedule work, or communicate about an active engagement.

If AI Actualized begins sending marketing email, this policy and the relevant collection notices will be updated before that practice begins. Marketing messages will include an unsubscribe method.

Client information and artificial intelligence

I do not submit client information to third-party AI systems.

That restriction includes client documents, assessment responses, business records, operational information, personal information, and confidential business context. I do not paste that material into public chatbots or other third-party AI services.

I do not use client information to train any artificial intelligence model.

If a future service would require different handling, it will not happen under this policy by implication. The service, vendors, safeguards, and permitted information would have to be disclosed and agreed to separately before any client information was submitted.

Payments

Payments are processed by Stripe. AI Actualized does not collect or store complete payment-card numbers through this website.

Stripe may provide AI Actualized with transaction information such as:

• Customer contact information
• Stripe checkout-session identifiers
• Payment-intent identifiers
• Amount paid
• Payment status

Stripe maintains payment information under its own privacy, security, and retention practices.

Appointment scheduling

Appointment scheduling is provided through Google Calendar. Information entered into the scheduling page is submitted to Google and made available to AI Actualized for the purpose of arranging and managing the appointment.

The scheduling page is hosted by Google. Google’s privacy practices apply while you use that service.

Forms, email, and client files

Lead information and transaction records may be stored in Google Sheets. Assessment and exercise responses may be collected through Google Forms. Client files may be stored in Google Drive. Service-related email is handled through Google Workspace and Gmail.

Google processes and stores that information under its own service terms, security controls, and privacy practices.

Service providers

AI Actualized uses service providers to operate the site and deliver services. Those providers currently include:

• Cloudflare, for website hosting, traffic delivery, network security, and serverless functions
• Google Workspace, including Gmail, Google Sheets, Google Drive, Google Forms, and Google Calendar
• Google Analytics, for website measurement
• Google Fonts, for website typography
• Stripe, for payment processing

These providers receive information only as necessary to perform the services described above or as required by law. They maintain their own systems, policies, retention practices, and legal obligations.

When information may be disclosed

I may disclose information:

• To the service providers identified in this policy
• When you direct or authorize the disclosure
• When necessary to deliver a service you requested
• To comply with a valid legal obligation, court order, subpoena, or government request
• To investigate fraud, abuse, security threats, or unlawful activity
• To protect the rights, property, or safety of AI Actualized, a client, or another person

I do not sell personal information. I do not share personal information for cross-context behavioral advertising.

Retention

Information is retained according to the reason it was collected:

• Lead and inquiry records: 12 months after the last meaningful contact, unless the person becomes a client or a longer period is required to resolve a dispute or legal obligation
• Client files and engagement records: three years after the engagement ends
• Payment, tax, and accounting records: seven years from the applicable transaction or reporting period

The same retention period applies to the IP address stored with a lead or transaction record.

Some records may be kept longer when required by law, necessary to establish or defend a legal claim, or needed to resolve an active dispute. Information maintained independently by Stripe, Google, Cloudflare, or another provider may remain subject to that provider’s retention requirements.

These periods require manual and administrative deletion in some systems. AI Actualized will maintain the operational process needed to carry them out.

Security

The website is delivered over HTTPS. Service credentials used by the website are maintained in server-side environment variables and are not sent to visitors’ browsers. Website forms validate and limit the information they accept. Complete payment-card information is handled by Stripe rather than AI Actualized.

No website, transmission method, or storage provider can be guaranteed completely secure. AI Actualized does not claim a security certification it does not hold, and it does not claim direct control over the internal security systems operated by Cloudflare, Google, or Stripe.

Please do not submit passwords, API keys, payment-card numbers, medical records, Social Security numbers, or other information that the site has not specifically asked you to provide.

Your choices and requests

You may ask AI Actualized to:

• Tell you what personal information is held about you
• Provide a copy of that information
• Correct inaccurate information
• Delete information that is no longer required
• Stop contacting you
• Explain how your information has been used or disclosed

I may need to verify your identity before providing, changing, or deleting personal information. A deletion request may not include information that must be retained for tax, accounting, fraud-prevention, contractual, or legal reasons.

I will not treat you differently for making a privacy request.

AI Actualized does not sell personal information and does not share personal information for cross-context behavioral advertising.

California residents may use the contact information above to request access, correction, or deletion. If a California privacy law grants a right or imposes an obligation beyond what is described here, AI Actualized will handle the request according to the applicable law.

The site does not currently respond automatically to browser-based Global Privacy Control or Do Not Track signals. This disclosure describes the site’s current technical behavior. It does not override any obligation that may apply under California law.

Children’s information

This site is intended for business owners, operators, and professionals. It is not directed to children, and I do not knowingly collect personal information from children.

If you believe a child submitted information through the site, contact me at info@youraiactualized.com so I can investigate and remove it when appropriate.

Links to other websites

The site links to services and websites operated by other organizations. Once you leave youraiactualized.com, the privacy practices of the other website apply. This includes Google Calendar, Google Forms, Stripe, and any external resource linked from the site.

Changes to this policy

This policy will be updated before AI Actualized begins collecting information for a materially different purpose or adopts a materially different data practice.

The effective date and last-updated date at the top of this page will be revised when the policy changes. An older version may be retained for recordkeeping.
